The first screen that Regystrum shows to users after accessing is the dashboard, in which the user can see an overview of the most recent registrations that regard him, because distributed to him for knowledge, or assigned to him for competence. The list of registrations can be filtered and ordered in different ways, in Google Drive and Gmail.
The list of registrations can be filtered and ordered as the user prefers, according to date, name and status. By clicking on a single registration, you access immediately to the relative sheet, in which all the information regarding it is visible and printable.
The registration of a document or file in general, with relative classification through the use of default fields (title, description) and fields that are customizable by the administrator (ex: the field “Circulation” divided in the three options “Incoming”, “Outgoing”, “Internal”). The video ends with the beginning of the screen that allows you to share registrations just created.
Distribution for knowledge or assignment for competence
When a registration is created, the application offers options to share it, these can be of two kinds: for knowledge or for competence. In this second case, it’s possible to associate a task with a due date and instructions that will be received and displayed in the Calendar and among the Gmail activities of the task owner who has “accepted” it for his group/office.
Acceptance of the assignment
The user who is the assignee for competence of a registration, or who has been designated as “task owner” in an addressee group, “accepts” the protocol and the associated task. This action generates two consequences:
– the registration’s state passes from “pending” to “assigned”
– the task will appear in the user’s account among Gmail’s activities and in his Calendar
Storage and searching
The storing page contains the list and the advanced search fields of all the registrations to which the user has received access. Google’s searching algorithm is applied to Regystrum’s storage to allow you to find, with various options, the needed files, also searching for a specific text within them. The video ends showing the arrangement of folders and files in the Drive of the user designated for the storing.
Thanks to the possibility of adding customizable fields, Regystrum allows you to implement ad hoc classifications. In this video, the few, simple passages to insert customizable fields are shown (custom metadata).
This video gives an overview of the setting and customization options that are in the administration panel, among which: the synchronization of groups and users in the Google Groups, the definition of roles and prerogatives of each user for every group/office to which he belongs, the setting of custom metadata and the log file download for all the operations realized in Regystrum.
